Job Description
The purpose of the position is to provide professional business and administrative support services to various departments based on agreed Service Level.
Job Responsibilities
Key responsibilities include:
- Providing treasury support in handling disbursement transactions.
- Verifying urgent in-house requests through the Travel Request System (PTRS).
- Ensuring compliance of primary and secondary documents (Invoices/Statement of Account/Official Receipts) with BIR Invoicing Requirements.
- Preparing in-house checks for disbursement.
- Controlling the releasing of checks.
- Ensuring all supporting documents attached to payment vouchers are complete.
- Processing Customer Deposit Refund and monitoring services related to Special Deposits Payables, Billing in SBTC.
- Processing requests for refund of special deposit and bill deposit.
- Making adjustments to customer's accounts.
- Ensuring completeness and validity of supporting documents for refund application.
- Preparing Request for Payment for Customer's Deposit Refund.
- Providing Administrative services to different departments.
- Processing fast and accurate flight and hotel bookings, car arrangements, and posting of payables for official business travels.
- Managing Meeting Room Reservation and Staffhouse Accommodation.
- Overseeing employees'/maintenance needs of the DLPC Staff house.
- Administering Petty Cash for the admin group.
- Administering the BOVEDA Document Management System.
- Administering document management metadata, workflow, and storage structure.
- Performing archiving, retrieval, and disposal of documents in accordance with AP DU Boveda Policies.
- Managing the flow of documents and acting as custodian of all documents uploaded in BOVEDA.
- Performing and providing assistance in data and work process automation.
- Implementing file management system.
- Ensuring compliance and adherence to ISO IMS, AMS and other implemented management systems.
Job Qualifications:
- Education: BS Business Administration, Secretarial, Computer Science, and other related business courses.
- Professional Experience: At least 1 year of work experience in an office setting.
