Project Staff - Facilities Administration
Job Responsibilities:
- Plan the human, equipment, processes, and other resources required to implement the section's objectives and monitor output or performance.
- Manage the work of subordinate(s) in the excellent execution of the section's deliverables.
- Recommend training programs and actively coach subordinate(s) to meet developmental needs.
- Conduct one-on-one feedback sessions, evaluate the performance of direct subordinate(s), and recommend appropriate personnel action.
- Preside in daily huddles and conduct regular extension office visits to address issues and concerns.
- Collaborate and coordinate with stakeholders on processes and systems, and recommend plans and programs for improvement.
- Attend inter-department meetings involving Facilities Safety and Security, Projects, etc..
- Ensure the maintenance of a clean and safe work environment for administrative offices.
- Prepare purchase requisitions for spare parts, furniture, fixtures, and other supplies.
- Organize the scheduling of company vehicles (General Office) for employees.
- Monitor periodic maintenance for company vehicles under the General Office.
- Facilitate the preparation of contracts for all General Office service providers and preside over the contractor Pre-bidding process.
- Implement and introduce energy conservation initiatives in the company premises.
- Implement the Building, Maintenance, and Repair of Veco Park donated to Local Government Units (LGUs) under RED.
- Facilitate the annual issuance of uniforms for male employees.
- Ensure compliance and adherence to ISO IMS, AMS, and other implemented management systems.
- Facilitate necessary administrative tasks for regular company procedures like requests for payments, purchase orders, and liquidations.
- Monitor and recommend requirements on materials and equipment to perform one's role and responsibility.
- Readily assume tasks requiring immediate or urgent attention that may be reasonably assigned by the Team Leader.
- Assist in the preparation of colleague engagements and culture building activities.
- Must be a graduate of Civil Engineering.
- Professional experience: with 3 years experience on building and Facilities Administration Officer (FAO) Administration.
- Required proficiency level of 4 in:
- Facilities Maintenance and Repair.
- Facilities Operations.
- Contract Management.
- Customer Service.
- Regulatory and Compliance.
- Required proficiency level of 2 in:
- Basic Awareness on Safety and Health.
- Basic Awareness on Environmental Management.
- Required proficiency level of 1 in:
- Hazardous Chemical/Materials Handling.
- Electrical Safety.
- Basic Awareness on Asset Management System (AMS).
