This position holder is responsible for post-PO activities, such as expediting, goods receiving, logistics, and importations. The incumbent shall provide the necessary shared services and support to the Supply Chain Management to ensure of the  attainment of SCM and company objectives by:

  • Ensuring all orders/contracts, as applicable, are expedited to ensure that the project schedules and contractual delivery requirements are met.

  • Identifying potential impact actual disruptions in the supplier’s submission and delivery and recommend solutions.

  • Identifying shipping requirements and coordination with 3rd party logistics and brokers to ensure compliance to importation requirements.

Role and Responsibilities

Expediting Management

  • Ensures that all orders/contracts, as applicable, are expedited to ensure that the project schedules and contractual delivery requirements are met.
  • Expedites the product delivery within the project schedule and requirements i.e. proper handling of all import and export customs documentations and goods clearance.
  • Controls and monitors all expediting data and other appropriate documents to ensure current information is available and distributed
  • Identifies potential impact actual disruptions in the supplier’s submission and delivery for critical supplies
  • Provides support to the team by:
    • Participates in pre and post-award meetings and facilities meetings to review and discuss schedules and potential problem areas that may impact required shipment dates as well as Operations meetings.
    • Highlights and reports orders/contracts where there is a likelihood of delay to equipment or critical materials, which may have an adverse effect on the program together with the proposed corrective action with concerned customers (Facilities, Engineering, Operations).

 

Logistics and Customs Management

  • Ensures BOC Audit Preparedness and closure of BOC and importation audit issues.
  • Ensures SCM BOC / DOE compliance and permits renewals.
  • Coordinates and provides necessary assistance for Tax Exemption Certificate (TEC) and Duty Free Certificate (DFC) application and digitalized reporting for the company’s import and export undertakings under RE Law incentives and privileges.  Deals with various Philippine Government Offices that deal with taxes, importations/exportations and the like.
  • Coordinates with brokers and logistics suppliers including pier operations and monitoring in order to achieve the planned required dates.
  • Processes invoices of all 3rd party logistics / brokers.
  • Provides support to the team by:
    • Conducts selection and negotiation with 3rd party logistics and brokers.
    • Identifies shipping requirements / timescales to relevant delivery point personnel.

 

Reporting and OTIF Performance Management

  • Prepares of reports
    • Regular and ad-hoc status reports to management and other departments as required on all OTIF performance
    • Status of importations and incoming deliveries, storage and demurrage monitoring
    • Insurance declaration report
    • Rejections and reports preparations
    • Monitoring of debit note & credit note until its fully paid
    • Monitoring of rejected item until its settlement
  • Conducts analytics of the following SCM  KPIs:
    • On-time delivery report
    • Undelivered or Open POs
  • Supports the various teams of the SCM group to attain their targets and objectives when it comes to OTIF, shipment/ deliveries for critical projects
