As a General Services Operations Management Specialist, you will play a key role in ensuring the efficient, reliable, and customer-focused delivery of Facilities and Management Services (FSM) across the Naga Complex. You will oversee the tactical operations of general services, facilities, infrastructure, mobility, logistics, and third-party service providers, while supporting both current and future AboitizPower energy projects within the complex. You will work closely with General Services Operations Management team to deliver results, create positive community impact, and develop your skills in a supportive, purpose-driven environment. 

 

In This Role, Your Responsibilities Will Be:

 

  • Facilities & Infrastructure Administration: Maintain the physical plant, fixtures, furniture, equipment, common areas, and assigned infrastructure within the Naga Complex. Develop and implement the Repair and Maintenance Plan in consultation with internal customers, ensuring that essential facilities such as power, lighting, air-conditioning, and other building services remain operational. Oversee workstation allocation and promote 5S office cleanliness and workplace organization.
  • Energy Project & Complex Support: Provide facilities and administrative support to current and future AboitizPower energy projects within the complex, including potential energy storage, solar, and other project developments. Coordinate with relevant project teams and stakeholders to ensure that facilities and shared infrastructure requirements are properly addressed.
  • Common Area & Shared Infrastructure Management: Ensure the proper operation, upkeep, and maintenance of common areas and shared infrastructure used by different business locators within the Naga Complex. Coordinate requirements, resolve operational concerns, and maintain service standards across shared facilities.
  • Health, Safety, & Sanitation: Oversee waste management and segregation, workplace hygiene, sanitation, and regular pest control through third-party contractors. Ensure fire extinguishers are properly calibrated and drinking water is regularly tested in coordination with the Safety, Health and Environment (SHE) Department.
  • Business Continuity & Emergency Preparedness: Comply with risk-based management plans, including Business Continuity Plans (BCP), and ensure the availability of a sufficient three-day supply of emergency food and water for the operations team. Protect information assets in accordance with Information Security Management System (ISMS) policies.
  • Vendor & Contract Management: Lead the review, renewal, and monitoring of contracts and Service Level Agreements (SLAs). Maintain an updated database of suppliers and service providers, monitor contractor performance, and ensure compliance with statutory, legal, safety, and company requirements. Continuously scout, evaluate, accredit, and expand the pool of qualified suppliers and service providers.
  • Third-Party Service Management: Monitor services and activities transitioned to third-party providers, ensuring that agreed deliverables, service levels, quality standards, and customer requirements are consistently met. Address service gaps and coordinate corrective actions as necessary.
  • Fleet, Logistics, & Travel Management: Oversee the maintenance and dispatch of fleet vehicles and ensure compliance with the Road Transport Safety Management System (RTSMS). Arrange travel, transportation, and accommodations for personnel on official business and manage the organization's corporate hailing service account.
  • Corporate Mobile Phone Program: Manage the end-to-end administration of the Corporate Mobile Phone Program, including planning, allocation, procurement, distribution, inventory monitoring, maintenance, and coordination with users and service providers.
  • Budgeting, Billing, & Financial Administration: Process and monitor payables, including invoices for utilities, vendors, contractors, and hotels, ensuring payments are processed according to agreed terms. Manage company funds and support the FSM Manager in budget preparation, finalization, monitoring, and utilization.
  • Records & Database Management: Maintain and regularly update institutionalized FSM databases, records, contracts, service provider information, asset inventories, maintenance records, and other relevant documentation to support effective operational monitoring and decision-making.
  • Customer Service & Stakeholder Management: Deliver FSM services with a strong customer-centric mindset. Work closely with internal customers, business locators, project teams, contractors, suppliers, and other stakeholders to understand requirements, resolve concerns, and continuously improve service delivery.
  • Executive & Administrative Support: Provide administrative and executive assistance to key executives assigned to the region and support the FSM Manager in the effective delivery of regional facilities and administrative services.
  • Compliance & Management Systems: Ensure compliance with company policies, procedures, and applicable regulatory requirements, including relevant ISO management systems.

 

What You Will Need:

 

  • Education: A bachelor's degree in any Engineering course is required. Civil Engineering is highly preferred.
  • Experience: 2–3 years of experience in an administrative specialist capacity, with demonstrated experience in Facilities Management and Customer Service.
  • At least 1 year of project experience is required.
  • Experience in facilities, infrastructure, vendor management, project coordination, or administrative operations is an advantage.
  • Experience working with multiple stakeholders, third-party service providers, and shared facilities is preferred.
