Executive Assistant
Job Scope: Provide executive level support and maintain the COO's schedule, coordinate with internal and external stakeholders, provide logistical and travel support and work on operations related projects.
Responsibilities:
- COO Calendar Management
- Manages and maintain COO's calendar and appointments and provide reminders of meetings and appointments. Input in COO calendar.
- Office Management
- Answers and screen incoming calls and emails and directs to appropriate parties.
- Receive, sort and forward all incoming correspondence to appropriate CSU Leaders.
- Ensures all checks and documents for signature are properly attended to and returned to parties concerned on time.
- Complete a broad variety of administrative tasks for the COO including: requests for payment, to process and facilitate payment or reimbursements and cash advances for the boardroom and pantry supplies.
- Act sa Representative to COO's Quarterly and Annual Income Tax Return
- Perform general office duties such as ordering supplies, maintaining records, filing and retrieving corporate documents and reports. As well as maintenance of equipents in use.
- Assists in coordinating Agendas and reports for the AP DU Mancom and all other CSU meetings.
- Travel Arrangements
- Arrangement of complex and detailed travel plans, itineraries and compiling documents for travel related matters.
- Coordinate with accredited service providers for the travel arrangements of COO (& family), land transportation and security arrangements.
Qualifications:
- Possesses the ability to maintain the highest level of confidentiality
- Bachelor's degree of any 4 year course
- At least 4 years of related work experience
