Administration Staff

Job Summary

 

The Administrative Staff is responsible for providing comprehensive administrative and secretarial support to departments and team leaders to ensure efficient office operations in accordance with company standards. The role involves managing the procurement and timely delivery of office materials, facilitating financial documentation, and supporting human resources and accounting functions. The incumbent acts as a key point of contact for internal and external stakeholders, ensuring seamless communication and the organized maintenance of corporate records and schedules.

 

  1. Administrative & Secretariat Support
    • Prepares expense reports and requests for payment to facilitate timely reimbursements and superior-led claims.
    • Manages the daily schedule and appointments for department heads, providing reminders and preparing necessary meeting documentation.
    • Directs incoming calls, manages correspondence, and records incoming/outgoing documents, including signed checks.
    • Coordinates travel arrangements, including flights and accommodations, through accredited service providers.
  2. Accounting & Billing Services
    • Generates, prints, and ensures the delivery of customer electric bills while resolving billing complaints and queries.
    • Encodes customer payments into the system and prepares daily collection reports for accounting submission.
    • Processes billing variances and coordinates with Meter Readers for data verification and correction.
    • Serves as the Petty Cash Custodian, administering office funds and processing payments for regular billings, taxes, and fees.
  3. Human Resources
    • Supports the implementation of HR initiatives and assists in maintaining updated employee data.
  4. Compliance & Safety
    • Adheres to the Integrated Management System (IMS) and Asset Management System (AMS) manuals and EHS guidelines.
    • Ensures compliance with Cybersecurity, Information Security, and the Data Privacy Act.

 

 

Job Qualifications

 

  • Bachelor’s degree in Business Administration or any business-related discipline.
  • At least one (1) year of professional work experience in an administrative function is highly preferred.
  • Billing and Collection: Advanced understanding of the revenue cycle, billing analysis, and adjustment applications.
  • Basic Accounting: Practical knowledge of accounting principles, ERP requests, and budget forecasting.
  • Customer Service: Skilled in fulfilling the needs of both internal and external customers to improve satisfaction levels.
  • Highly detail-oriented, well-organized, and capable of handling confidential information with discretion.
  • Willing to engage under a project-based employment arrangement.
  • Able to perform on-site assignments at Lima EnerZone, Lima Technology Center, Malvar, Batangas
