Job Summary

 

The Administrative Staff provides essential administrative and clerical support to ensure the smooth and efficient operation of office functions. The role focuses on payment processing, records management, documentation, and general administrative support, in accordance with company policies, quality standards, and applicable labor regulations.

This position plays a vital role in maintaining organized office systems, timely processing of administrative requirements, and effective coordination with internal teams and external service providers. 

 

  1. Administrative & Office Support
    • Perform general office and clerical tasks such as filing, record-keeping, document retrieval, and office supply monitoring
    • Receive, record, release, and route incoming and outgoing documents, memos, and correspondence
    • Maintain accurate and organized physical and electronic records in accordance with company document control standards
  2. Payment Processing & Administrative Transactions
    • Prepare and process Requests for Payment (RFPs) for utilities, suppliers, and administrative expenses
    • Assist in monitoring and maintaining petty cash funds in compliance with company policies
    • Coordinate with internal teams and service providers to ensure the timely processing of administrative payments
  3. Systems & Document Management
    • Support document management processes, including uploading, indexing, and granting controlled access to records in the document management system
    • Ensure completeness and proper documentation of administrative contracts and compliance records
  4. Compliance & Support Functions
    • Assist in administrative compliance requirements, including coordination with regulatory or zone authorities when needed
    • Support company initiatives related to safety, EHS, information security, and data privacy
    • Perform other administrative tasks reasonably assigned to support operational efficiency

 

 

Job Qualifications

 

  • Bachelor’s degree in Business Administration, Office Administration, Management, or any related field.
  • Preferably with experience in administrative or clerical functions is an advantage; however, fresh graduates are encouraged to apply.
  • Working knowledge of records management, documentation, and standard office procedures.
  • Demonstrated ability to process administrative and payment-related documents accurately and within required timelines.
  • Highly detail-oriented, well-organized, and capable of handling confidential information with discretion.
  • Willing to engage under a project-based employment arrangement.
  • Able to perform on-site assignments at Subic EnerZone, Subic Bay Freeport Zone, Olongapo City.
