Admin Manager
Administration Manager
The position is responsible for ensuring high-quality support services for administration operations across ARI and its subsidiaries including but not limited to Facilities Management, Travel, and Fleet Management. He/she will manage critical contracted services by ensuring compliance and collaboration to improve performance. In addition, he/she will champion initiatives to drive cost-savings efficiency, productivity, and a safer workplace.
FACILITIES MANAGEMENT
- Leads strategies to ensure sound financials by championing initiatives to optimize operational expenses in managing all the sites, facilities, and offices nationwide
- Manages contracted general manpower services by conducting regular business performance reviews, and safety engagements, and supports issue escalation and resolution, based on the scope of the contract.
- Oversees effective company resource management by aligning stakeholders' needs and the department’s SLAs to ensure smooth business operationsManages repair projects and improvements by collaborating with internal and external partners to ensure offices, buildings, and grounds are properly maintained Partners with SHE, Facility Groups, and other concerned departments in ensuring a safe and efficient workplace through the 6S Program
- Manages root causes analysis of Admin-related audit findings, issues, and incidents to ensure proper root causes are identified with corresponding corrective actions and monitor timely closure
- Approves requests for payment under FINLOA by reviewing transactions based on payables monitoring
FLEET MANAGEMENT
- Manages contracted drivers by conducting regular business performance reviews, and road safety engagements, and supports issue escalation and resolution, based on the scope of the contractLeads effective fleet management, particularly its maintenance by championing safe and cost-saving initiatives to ensure sound financialsEnsures consistent implementation of Road Transport Safety policies and procedure
- Manage the timely disposal and replacement of vehicles based on vehicle condition
TRAVEL MANAGEMENT
- Manages contracted travel vendors/partners by conducting regular business performance reviews and supports issue escalation and resolution, based on contract
- Reviews critical travel management plans by aligning stakeholders' requirements with the department SLAs and resources to effectively support business operations
- Ensures availability of reliable travel partners (hotel, vehicles, other travel-related service providers) with cost-competitive rates.
MANAGEMENT, REPRESENTATION AND OTHER DUTIES
- Ensure that all services are delivered within or below budget parametersEnsure the timely processing of payments for admin partners and service providers
- Manages Administrative Supervisors and Specialists to execute initiatives successfully aligned with department goals and objectivesManage and monitor all admin services to ensure achievement of agreed services levels and budget, and accurately reports these to the different business units.
- Manages timely review and processing of payments from planned activities and initiatives through regular updating with the team
- Represents the department/organization in meetings and conferences
- Performs other duties and responsibilities that may be assigned by his/her immediate leader
Qualifications:
- Must be a Bachelor’s Degree holder in Engineering, Technology, Sciences, Accounting, or Business Administration.
Preferably a licensed engineer
Must have experience leading or co-leading at least two (2) cross-functional projects.
Preferably with relevant experience and/or knowledge in industrial facilities.
Must have at least 5 years of cumulative experience in administrative services, facilities management, customer support, and operations management.
Must have at least 3 years of leadership experience.
